This Agreement is between you (the Volunteer) and Evil Genius Games’ Organized-Play (E.G.O.) program. It starts upon your agreement and ends on June 1, 2026.
Evil Genius Games has a Code of Conduct that governs both staff and Volunteers. In joining the E.G.O. program as a Volunteer, you agree that you have read the Code of Conduct (above url) and agree to abide by its provisions.
As a Volunteer, it is important that you understand up front that you are offering your time and skills for free and you will not be paid for your time. You are not in any way an employee, consultant, or contractor.
As a Volunteer in Evil Genius Games’ Organized-Play (E.G.O.) program, you will support the E.G.O. program and choose a specific Volunteer role within E.G.O. with E.G.O.'s consent (Section II). There are, however, some general core responsibilities and duties that apply to all Volunteers.
As an E.G.O. Volunteer, you will undertake the tasks expected of your role, such as:
Sometimes, Evil Genius Games and E.G.O. might invite you to do other activities or partake in other opportunities that are not part of your Volunteer role in E.G.O. These activities and opportunities are entirely optional: you are free to say no to any of them without repercussions. If you are unsure about whether something is a part of your Volunteer responsibilities or optional, please ask.
These are optional and not part of your E.G.O. responsibilities.
In order for you to participate and fulfill your role in the program as a Volunteer, Evil Genius Games and E.G.O. may provide access to resources such as event scheduling tools, game materials, and communication platforms. These resources are intended solely for your use in fulfilling your Volunteer duties. Do not share them with others unless given explicit permission on a case-by-case basis.
Access to these resources is subject to periodic review, and Evil Genius Games and E.G.O. reserves the right to revoke access at any time for non-compliance, violations of the Code of Conduct, or for any other reason.
Volunteers have one of four roles within the E.G.O. program: Handler (GM), Operative (Local Organizer), Field Agent (Area Organizer), Director (Regional Organizer). By choosing a role, you agree to fulfill the responsibilities and meet the expectations of that Volunteer role to the best of your ability.
The roles of Handler (GM) and Operative (Local Organizer) focus on offering and running games through Dispatch either online (Roll20, Foundry, Quest Portal, etc.) or at in-person venues (stores, libraries, game clubs, etc.).
As a Handler, your primary responsibility is to offer and run games through Dispatch, either at in-person venues or online (or both). The expectation, whether you set up your own games or take those set up by an Operative, is to offer a minimum of one game per month and always have three games scheduled out on the Dispatch app (orgplay.app). For example, if you offer one game per month, you should always keep three months of games scheduled out on Dispatch. If you have to tweak the dates and details of these future games as you go, that is fine: the purpose is to give potential players a wide range of options and scenarios from which to choose on Dispatch. It is also highly encouraged that you also list and advertise your games through Warhorn (warhorn.net). We realize that emergencies arise, life intervenes, and the best laid plans may go awry. In such circumstances, what we expect is that you will make a good-faith effort to achieve these goals, come as close as you can when life intervenes, work to get back on track, and let us know if you can’t. If you are having trouble, please contact support@evilgeniusgaming.com and we will work with you! As a Handler, you are also encouraged to submit and run tables at local conventions, but you are not expected to organize and coordinate multiple tables. Evil Genius Games may offer additional support for GMs running games at conventions.
As an Operative, your primary role and responsibility is to schedule and assign games for other GMs in your local area at in-person venues (such as stores), local conventions, and/or online. You may, of course, schedule your own games (and we want you to!), but you must have at least one GM under you for whom you schedule regular games in order to have the role of Operative. The expectation is that, as an Operative, you will schedule a minimum of one game a month for each GM under you and keep three games for each GM under you scheduled out on Dispatch. As an Operative, you are also expected to organize (or help to organize) multi-table events (3 or more tables) running our games at local convention(s). Your Field Agent and/or Director can help you with this, and Evil Genius Games may offer additional support for convention organizers.
The roles of Field Agent (Area Organizer) and Director (Regional Organizer) are primarily administrative roles within E.G.O. These roles are taken by willing Volunteers in consultation with the E.G.O. Manager and the existing Volunteer leadership as circumstances warrant. Neither of these roles keeps you from offering and running games yourself (and we hope that you do!); it just means that your primary responsibilities as a Volunteer are administrative. If you are interested in either of the following roles, please let us know .
As a Field Agent, your primary responsibility is to organize, support, and assist Operatives and Handlers (in a state or a large metro area) to meet their goals and to expand the E.G.O. program within your area. In order to become a Field Agent, you must have at least two Operatives under you. The expectation is that Field Agents will also organize (or help to organize) events at area conventions. Evil Genius Games may offer additional support for convention organizers.
As a Director, your primary responsibility is to organize, support, and assist Field Agents, Operatives, and Handlers (in a region or country) to meet their goals and to expand the E.G.O. program within your region. We will work with you to help define your region and, depending on circumstances, you may become a Field Agent until there is sufficient participation in your region to warrant a Director. Directors are also expected to organize (or help others as needed to organize) events at larger conventions within their region.
As a Volunteer, you may have access to some information from Evil Genius Games and E.G.O. that is private and commonly known as “confidential information.” This may include plans, products, customer lists, and business details. By agreeing to this Agreement, you agree to keep this information confidential and only use it as it applies to your E.G.O. Volunteer role, and acknowledge that you may be legally liable for any damages caused by improperly disclosing confidential information. Additionally, you also agree to not share confidential information from your other jobs or clients with Evil Genius Games or E.G.O.
If Evil Genius Games or E.G.O. asks you to create something using their resources, Evil Genius Games will own it, but we will give you credit for your work. Unless you create something at Evil Genius Game's or E.G.O.'s request, you will retain ownership of what you create on your own, even while volunteering.
By agreeing to this Agreement, you agree to allow Evil Genius Games use your email and contact information to inform you about developments regarding the E.G.O. program and other Volunteer opportunities. We do not sell or trade your personal information.
By agreeing to this Agreement, you are granting Evil Genius Games and E.G.O. the rights to publish only your name, likeness, and photographs of you that are taken while you are volunteering for Evil Genius Games and E.G.O. events. These rights extend to print, online, and video-based marketing materials as well as to other Evil Genius Games publications.
You or Evil Genius Games can end this Agreement anytime, for any reason. When the Agreement ends, return any physical (non-digital) Evil Genius Games and E.G.O. property that you possess as a part of your Volunteer role and also any digital information and/or credentials that E.G.O. instructs you to return.
